Job Description

Job Summary:

The Accounts Payable Specialist will be responsible for managing the company's financial obligations and ensuring that all payments are processed in an accurate and timely manner. This role requires strong attention to detail, excellent communication skills, and the ability to maintain confidentiality while handling sensitive financial information.

Duties/Responsibilities:

  • Process and verify invoices, ensuring accuracy and compliance with company policies and procedures.
  • Review and reconcile vendor statements, resolving any discrepancies in a timely manner
  • Prepare and process payments, including check runs, ACH, and wire transfers.
  • Maintain accurate records of all accounts payable transactions and ensure timely filing of documentation.
  • Assist in the preparation of month-end and year-end closing procedures related to accounts payable.
  • Manage relationships with vendors and respond to inquiries regarding payments, terms, and account statuses.
  • Ensure compliance with company policies, accounting principles, and regulatory requirements.
  • Monitor aging accounts payable reports and follow up on overdue invoices.
  • Prepare and submit tax-related forms (e.g., 1099s) as required by law.
  • Assist with audits by providing necessary documentation and supporting information.

Qualifications:

  • Proven experience in accounts payable or a related financial role.
  • Strong knowledge of accounting principles, practices, and regulations.
  • Proficient in Microsoft Office Suite, especially Excel; experience with accounting software (e.g., QuickBooks, SAP, or Oracle) preferred.
  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to manage multiple priorities and meet deadlines.
  • Knowledge of relevant tax laws and regulations (e.g., sales tax, 1099 reporting).

Physical Requirements:

  • Ability to sit for extended periods while performing office tasks.
  • Frequent use of hands and fingers to operate computers, phones, and other office equipment.
  • Ability to occasionally lift up to 25 pounds (e.g., filing, office supplies).
  • Ability to bend, reach, or stoop to access files and office materials.
  • Clear vision for reading documents, spreadsheets, and financial reports.
  • Occasional walking between office areas for meetings or document retrieval.
