The Dispatcher will work out of our Rancho Cucamonga, CA office.

Job Overview:

The dispatcher plays a critical role in ensuring the smooth and efficient flow of inspection projects.

Key Responsibilities:

Ensure the efficient and effective dispatch of personnel and resources to meet operational demands while maintaining safety and customer satisfaction.

Responsibilities include:

Scheduling & Dispatching:

  • Coordinate and schedule inspections with clients, inspectors, and contractors.
  • Assign inspectors to projects based on their expertise and availability.
  • Ensure timely and efficient scheduling to meet project deadlines.
  • Reschedule appointments as needed, accommodating unforeseen delays or client requests.

Communication:

  • Act as the primary point of contact for clients, answering inquiries and addressing concerns.
  • Communicate effectively with inspectors regarding project details, scheduling changes, and any relevant information.
  • Maintain clear and concise communication records.

Data Entry & Record Keeping:

  • Accurately enter project information, scheduling details, and inspection reports into the RMA’s database.
  • Maintain detailed records of all scheduling activities and client interactions.

Administrative Support:

  • Assist with uploading daily field reports and field inspector timesheets.
  • Support with gathering missing field documentation when needed.

Customer Service:

  • Provide excellent customer service to all clients, ensuring their satisfaction with the agency's services.
  • Build and maintain positive relationships with clients.

Problem-Solving:

  • Identify and resolve scheduling conflicts, address client concerns, and find solutions to logistical challenges.

Core Skills:

  • Excellent Communication:
  • Verbal: Clear, concise, and professional phone etiquette is crucial. You'll be interacting with clients, inspectors, and potentially engineers.
  • Written: Accurate data entry, report writing (basic), and clear email communication.
  • Strong Organizational & Time-Management:
  • Scheduling: Coordinating inspector schedules, appointments, and ensuring timely arrivals at job sites.
  • Multitasking: Handling multiple phone calls, emails, and scheduling requests simultaneously.
  • Prioritization: Determining urgent tasks and addressing them accordingly.
  • Proficiency with Computers & Software:
  • Familiarity with scheduling tools (Google Calendar, Outlook Calendar, specialized scheduling software).
  • Basic proficiency in Word, Excel, and Outlook.
  • CRM (Customer Relationship Management) Software
  • Data Entry Accuracy: Precise and efficient input of client information, job details, and inspector reports into databases.

Desirable Skills:

  • Basic Construction Knowledge: A general understanding of construction terminology and processes can be helpful.
  • Customer Service Skills: Patience, empathy, and a friendly demeanor are essential when dealing with client inquiries.
  • Problem-Solving Skills: Ability to troubleshoot scheduling conflicts, address client concerns, and find solutions to logistical challenges.
  • Adaptability: Flexibility to adjust to changing schedules, priorities, and unexpected situations.
  • Teamwork: Ability to collaborate effectively with inspectors, project managers, and other staff members.
