Job Description

The Document Control Manager will be responsible for overseeing the organization, and maintenance of all quality-related documentation and process monitoring within Cloverdale. This position plays a vital role in ensuring that all quality management systems, regulatory documentation, and internal records are up-to-date, accurate, and compliant with company policies and industry standards. The ideal candidate will have to develop and update various technical documents. The candidate should have experience in document control, quality assurance, and regulatory compliance within the food or meat processing industry.

Office Environment: 65% of the work is conducted in an office setting, involving time spent on computer research, project management, and communication with team members and stakeholders. Frequent participation in both in-person and virtual meetings, including project updates, strategy sessions, and presentations to management and stakeholders.

Production Environment: 30% Regular visits to the production areas will involve exposure to machinery, noise, varying temperatures, humidity, and wet conditions.

Travel: <5% Occasional travel for training, meetings, conferences, etc.

Schedule: Flexible schedule, including evenings, weekends, and holidays as needed based on operational requirements.

Key Responsibilities:

  1. Document Control Management:
  2. Oversee the creation, organization, revision, and distribution of quality management documents, including SOPs, work instructions, policies, and records.
  3. Ensure all quality-related documents are properly stored, cataloged, and easily accessible while maintaining confidentiality and integrity.
  4. Maintain document control systems to track changes and revisions in accordance with company standards.
  5. Process information through the system and communicate it with stakeholders to ensure accurate measurements and successful product completion.
  6. Ensure proper archiving and retention of historical quality documents to comply with legal and regulatory standards.
  7. Regulatory Compliance & Audits:
  8. Ensure that all quality-related documents comply with food safety, regulatory, and industry standards, such as FDA, USDA, and other relevant agencies.
  9. Assist in the preparation and submission of regulatory reports and documents as required by government agencies.
  10. Continuously evaluate and improve document control processes to increase efficiency, accuracy, and accessibility of quality documentation.
  11. Quality Management System (QMS) Support:
  12. Support the development and maintenance of the company’s Quality Management System (QMS) and ensure it aligns with industry best practices.
  13. Work with cross-functional teams to ensure quality documentation aligns with manufacturing processes, product specifications, and safety protocols.
  14. Serve as a point of contact for all quality document inquiries and audits.
  15. Other duties as assigned.

Qualifications :

  1. Bachelor’s degree in food science, Microbiology, or related field; or equivalent professional experience preferred.
  2. 2+ years of experience in document control, quality assurance, or regulatory compliance, preferably in a meat processing environment.
  3. In-depth knowledge of food safety regulations, quality management systems (QMS), and document control practices (FDA, USDA, etc.).
  4. Strong organizational and time management skills with a high attention to detail.
  5. Proficiency with document control software and Microsoft Office Suite (Excel, Word, etc.).
  6. Strong written and verbal communication skills.
  7. Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.

Working Conditions/ Physical Requirements:

  1. Regular visits to production areas will involve exposure to machinery, high noise levels, varying temperatures, humidity, and wet conditions.
  2. Must be comfortable sharing office space with other professionals and performing repetitive, computer-based tasks. This includes extended periods of sitting, reaching with hands and arms, and using input devices such as a keyboard, mouse, and other tools. The role requires maintaining focus on detailed screen work for prolonged durations, including tasks such as data analysis, report preparation, and troubleshooting operational issues.
  3. Must be able to sit, stand, walk, reach, stretch, stoop, and bend for extended periods.
  4. Ability to work around ingredients and/or finished products containing food allergens.
  5. Must be able to communicate through various channels, including phone, email, face-to-face, and videoconferencing, effectively building and presenting organized data and plans to key stakeholders.

At Cloverdale Foods, base pay is one part of our total compensation package and is determined within a range. The base hiring pay range for this role is between $60,000 per year, and your actual base pay within that range will depend upon a variety of factors including, but not limited to, job-related knowledge, skill set, level of experience, and geographic market location.
