Job Description

As the Event Coordinator, Employee & Workplace Experience, you will provide critical support for the planning and execution of our offsite program and related activities. This role focuses on ensuring seamless logistics for offsites held in office spaces or external venues, as well as coordinating offsite dinners, activities, and transportation services.

  • Salary: $36/hr

Responsibilities:

  • Plan and execute engaging experiences: Research and propose dinner and activity options for offsite events, ranging from small gatherings to large-scale programs. Work with stakeholders to approve and finalize arrangements. Provide on-site support as needed.
  • Elevate the event experience: Design dinners and activities with a thoughtful approach, ensuring memorable and high-quality experiences for attendees.
  • Support contracts and payment processing: Oversee vendor contracts, negotiate terms, and coordinate payment processing to ensure timely and accurate execution of agreements.
  • Coordinate on-site logistics: Manage conference room assignments, A/V setups, and session-specific requirements.
  • Coordinate shuttle logistics: Plan and manage transportation schedules and external vendors to ensure seamless attendee travel.
  • Provide on-the-ground support: Troubleshoot issues in real time, assist the onsite Workplace team, and ensure smooth operations during summits, including evening activities and meals.
  • Streamline communications: Send travel invitations, manage RSVPs, and maintain clear communication with attendees.
  • Maintain scalable processes: Develop and update templates and documentation to create efficient, repeatable planning processes.

Required Qualifications:

  • Proven experience in event planning, logistics coordination, or employee experience roles.
  • Ability to manage complex logistics with exceptional attention to detail.
  • Strong problem-solving skills and agility to adapt to dynamic, fast-paced environments.
  • Effective communication skills with a focus on clarity and stakeholder engagement.
  • Flexibility to work varied hours in support of event schedules, including evenings for dinners, early mornings for offsite prep, and other event-related support as needed.
