Overview:

Our client, a not-for-profit hospital system, seeks an accomplished Healthcare Administrative Assistant .

*** Candidate must be authorized to work in USA without requiring sponsorship ***

*** Duration: 13-week contract with the possibility of extension

Notes:

  • Onsite role.
  • Please note that there will be limited to no overtime.
  • Shift: Mon – Fri, 8:00am – 4:30pm PT (flexible on start/end time).
  • Reference Check required.

Description:

  • To provide administrative support and develop workflow processes and systems for a department and high-level Vice President. Serves as liaison for the VP.
  • Role to include answering phones, scheduling meetings, taking minutes, ensuring adequate office supply inventory, assisting with department timekeeping, and submitting orders/invoices, etc.
  • Composes correspondence without draft contents.
  • Coordinates travel arrangements and other duties or projects as needed.
  • Enters data into a database, provides summary reports, and adds fields, as necessary.
  • Schedule meetings and appointments. Transcribes minutes of meetings.
  • Answers, screens, and initiates phone calls rerouting inquiries for department.
  • Coordinates gathering of input, documents, etc. from single sources for reports and presentations.
  • This candidate will interact with staff, answer phone calls, respond to emails, schedule meetings and have effective communication skills.
  • This candidate will directly report to VP, in addition to working with a larger team, including Internal stakeholders.
  • Will arrange meetings, prepare materials, and ensure the executive's time in meetings is productive and organized.
  • Candidate will need to be comfortable working in a collaborative and team environment.
  • Must be “cool under pressure” and professional in the work environment.

Qualifications:

  • Technical Requirements: Intermediate Word, Excel and Outlook skills, Min. 45 wpm keyboarding/typing speed.
  • This manager is looking for someone with a few years of Admin Assistant experience; Project management experience is a plus.
  • Strong organizational skills, clear communication, scheduling, problem solving skills, and collaborative.
  • Experience with Invoice tracking.
  • Experience with Calendar Management (large part of responsibilities).
  • Thorough and clear verbal and written communication.
  • Discreet and tactful due to confidential information.
