Job Description
The Administrative Assistant for the Human Resources department will provide critical administrative support to ensure the smooth and efficient operation of the HR department. This role involves performing a variety of clerical, organizational, and communication tasks to assist in the effective management of human resources functions.
Essential Functions
Administrative Support: Perform day-to-day administrative tasks such as scheduling meetings, managing HR files, preparing correspondence, and handling documentation related to employee records.
Employee Onboarding: Assist with the onboarding process by preparing new hire paperwork, arranging orientation sessions, and ensuring all necessary documentation is completed.
Data Management: Maintain and update employee records, databases, and HR-related files in compliance with company policies and legal requirements.
Recruitment Assistance: Support recruitment activities, including posting job openings, scheduling interviews, and coordinating communication between candidates and hiring managers.
Training and Development: Support training initiatives by tracking employee participation and progress.
Confidentiality: Handle sensitive employee and company information with the utmost discretion and in accordance with confidentiality guidelines and policies.
General Office Duties: Manage HR office supplies, coordinate office operations, and assist with any other administrative tasks as needed.
Skills and Qualifications
Associate’s degree or relevant certification preferred.
Previous experience in administrative or HR support roles is advantageous.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and HR software applications. ADP Workforce Now Knowledge a plus.
Excellent written and verbal communication skills.
High level of professionalism and attention to detail.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and a collaborative team player.
Bilingual a plus
Supervisory Responsibility
This position has no supervisory responsibility.
Work Environment
This job operates in a food manufacturing environment. This role routinely uses standard office equipment.

Position Type/Expected Hours of Work
This is a full-time exempt position located in Chicago.
The days and hours of work are Monday through Friday from 8:00 AM to 4:30 PM.
