Job Description

Beacon Hill Legal is seeking a proactive, detail-oriented Legal Administrative Assistant to provide support to attorneys and timekeepers in the transactional practice groups at our St. Louis office. The ideal candidate will have strong organizational skills, the ability to manage multiple tasks under tight deadlines, and demonstrate independent judgment.

Primary Responsibilities:

  • Provide administrative support to attorneys and staff in a fast-paced, high-pressure environment.
  • Maintain confidentiality and deliver exceptional client service both internally and externally.
  • Collaborate with other Legal Administrative Assistants (LAAs) and timekeepers to meet deadlines.
  • Coordinate schedules and prioritize meeting requests for timekeepers, including internal and external appointments.
  • Manage incoming communications (telephone, email, fax) and handle routine document filing and retrieval.
  • Prepare and maintain client files, both paper and electronic, in collaboration with the Records department.
  • Review and process conflict checks, new clients, and matters.
  • Submit time entries for attorneys and assist with billing, expense reimbursements, and check requests.
  • Draft, format, and proofread legal documents; assist with legal research and filings.
  • Coordinate travel arrangements and track Continuing Legal Education (CLE) hours for attorneys.
  • Organize and analyze legal materials, including judicial decisions, statutes, and legal articles.
  • Support event planning and coordination as needed.

Qualifications:

  • 3-5 years of experience as a Legal Administrative Assistant required.
  • Prior experience in a law firm or corporate legal department preferred.
  • Transactional law experience is highly preferred.
  • Some college or legal studies/paralegal background preferred.
  • Strong communication, organizational, and problem-solving skills.
  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint).
  • Typing speed of 60 WPM preferred.
