Legal Administrative Assistant

Location: Cupertino, CA 95014

Duration: 6-month contract with possible extension

Job Overview

We are seeking a reliable and proactive Legal Administrative Assistant III to provide comprehensive administrative support to a legal team and its senior executive leaders. The ideal candidate will bring strong organizational skills, excellent time management, and the ability to thrive in a fast-paced, dynamic environment while maintaining a high level of professionalism and confidentiality.

Key Responsibilities

  • Provide administrative support to senior executive leaders and legal teams.
  • Manage complex calendars, coordinate schedules, and organize meetings.
  • Handle travel arrangements, expense reports, and meeting agendas.
  • Prepare recaps, notes, and follow-ups for meetings.
  • Organize lunches, team-building events, and cross-functional meetings.
  • Liaise with multiple stakeholders across business functions.
  • Maintain confidentiality while handling sensitive information.
  • Support overall team operations in a fast-paced and rapidly shifting environment.

Required Qualifications

  • 5–7 years of administrative experience, including calendar management, expenses, travel coordination, and event organization.
  • Prior experience working with legal teams; basic knowledge of litigation or paralegal work is a plus.
  • Strong collaboration skills with the ability to build partnerships across teams.
  • Hands-on experience with macOS and Mac systems, including proficiency in native applications (Mail, Calendar, Keynote, Numbers, Pages).
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple tasks, prioritize effectively, and adapt to ambiguity.
  • Excellent time management skills and discretion when handling confidential matters.
