Job Description

JOB OVERVIEW

As Infinity Home Service’s Office Administrative Assistant, you will be responsible for providing administrative support to the corporate office and various functional departments, managing office supplies and the facility, handling internal communications, assisting with scheduling, and planning company events & meetings. As an essential part of the team and reporting to the VP of Human Resources, you will work closely with cross-functional teams to ensure the efficient day-to-day functioning of the office.

LOCATION

This position is ON-SITE in our Brookfield, WI office.

KEY RESPONSIBILITIES

General Office Management:

  • Greet visitors and handle all incoming calls.
  • Manage incoming and outgoing mail, packages and shipments, including FedEx and UPS drop-offs as needed. Research and remedy undeliverable mail items.
  • Maintain, order and stock office and kitchen supplies to ensure the office and conference rooms are fully equipped and presentable.
  • Manage conference room availability and calendars.
  • Guide new hires through office logistics.
  • Oversee the logistics of all corporate facility needs including adding, moving, or changing office/cubicle space to support the growth of the Company.
  • Internal Communication:
  • Keep corporate office informed of important notices (e.g., building updates, event reminders, office reminders, new hires).
  • Maintain and update contact databases with relevant information including internal and external stakeholders.
  • Assist with collecting content and updating the internal company website with monthly updates.

Event Support:

  • Assist in coordinating and managing corporate office events, including on-site meetings (with internal & external guests), company lunches, and corporate events. Coordinate meeting logistics including purchasing supplies, room set-up, catering, and meeting break-down ensuring all logistics are handled smoothly from start to finish.
  • Research off-site meeting space and venues for corporate events, off-site meetings and special occasions. Obtain contract & pricing details to assist with site selection and negotiating terms.
  • Assist in coordinating off-site meetings and event logistics including direct communication with venue on needs for AV, catering, and room set-up as well as purchasing and shipping any additional meeting supplies that may be needed.
  • Coordinate travel logistics and communicate expectations for large off-site company meetings including incentive trips and annual meetings.
  • Department Administrative Support
  • Provide administrative support to functional departments as needed.
  • Assist with scanning, copying, data entry, and basic data auditing associated with confidential or project-based matters.
  • Support the Executive Assistant and Executive Leadership Team with the creation of communications and formatting of presentations.
  • Other responsibilities or duties as required.

REQUIREMENTS

  • 2+ years of experience in office administration or as an administrative assistant.
  • Strong organizational and multitasking skills, with strong attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office 365, specifically Outlook, Word, and Powerpoint.
  • Prior experience in event planning and travel logistics helpful.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work independently in a fast-paced environment, prioritizing multiple tasks and requests effectively.
  • Possession of a positive, can-do attitude with a willingness to take on tasks beyond the job description, and the ability to embrace change with flexibility.
  • Strong interpersonal skills to work well with all levels of the team.
  • Ability to travel up to 10% of the time, as needed for event logistics.
