The Reception Supervisor at our Medical Specialists Practice plays a pivotal role in ensuring the smooth and efficient operation of the front desk and patient reception area. This position is responsible for leading a team of receptionists, managing patient flow, and maintaining a welcoming and professional environment for all patients and visitors. The role requires close collaboration with medical staff and administrative teams to coordinate appointments, handle inquiries, and resolve any issues promptly. The Reception Supervisor will also oversee administrative tasks such as scheduling, record keeping, and compliance with healthcare regulations. Ultimately, this role is essential in delivering exceptional patient service and supporting the overall effectiveness of the healthcare practice.

Minimum Qualifications:

  • High school diploma or equivalent; a certificate or diploma in office administration or healthcare administration is preferred.
  • Proven experience in a supervisory or team lead role within a healthcare or medical office environment.
  • Strong knowledge of medical office procedures, patient scheduling systems, and healthcare privacy regulations (e.g., HIPAA or relevant local standards).
  • Excellent communication and interpersonal skills to interact effectively with patients, staff, and healthcare professionals.
  • Proficiency in using electronic medical records (EMR) systems and standard office software (e.g., Microsoft Office).

Preferred Qualifications:

  • Post-secondary education in healthcare administration, business management, or a related field.
  • Experience working in a specialist medical practice or multi-disciplinary healthcare setting.
  • Familiarity with billing and insurance processes related to healthcare services.
  • Certification in customer service or leadership training.
  • Bilingual abilities or proficiency in additional languages relevant to the patient population served.

Responsibilities:

  • Supervise and support the reception team to ensure high standards of patient service and operational efficiency.
  • Manage patient appointment scheduling, check-in/check-out processes, and patient inquiries both in person and via phone or email.
  • Coordinate with medical and administrative staff to facilitate smooth patient flow and timely communication.
  • Train new reception staff and provide ongoing coaching to enhance team performance and customer service skills.
  • Maintain accurate patient records, ensure confidentiality, and comply with healthcare regulations and practice policies.
  • Handle escalated patient concerns or complaints professionally and work towards effective resolutions.
  • Monitor and manage reception area supplies and equipment to ensure a well-functioning workspace.
